Booking information

The Company reserves the right not to confirm the booking until the full amount set out in the invoice received by client/agent is paid and has been received by the Company and all the relevant documentation has been signed and completed in full by the client/agent.
Any amendments to, or cancellation of the booking shall be subject to these terms and conditions. Optional activities that take place inside National Parks or Reserves may be subject to additional conservation fee charges.

Tour price, deposit and payment

Price quotations are inclusive of transport while on safari or lodge/hotel accommodation charges, specified meals, park fees, and driver guides. Quotations do not include hotel expenses prior to and at the termination of the trip, alcoholic drinks, tips or any other items not mentioned in the quotation.

Our package prices range according to season, mode of transportation, type of accommodation for example lodge/hotel rating from 3-5 star. 

To guarantee the reservation 50% of the total tour price has to be paid 3 months (90 days) before the trip. The final balance is required to be paid not later than 30 days prior to your date of arrival in Tanzania. If your booking is made and confirmed within 45 days of your arrival date full payment will be required immediately.

All confirmed bookings will be issued with Invoices as your booking reference numbers and will only be confirmed once the initial deposit of 50% is received at least three month in advance. Bookings not confirmed within the stipulated period shall be released and the cancellation policy shall apply.

Cancellation Policy

Your booking/reservation and well-being are very important to us. We understand that sometimes, unexpected delays can occur, making schedule adjustments. If you need to cancel your reservation, we respectfully request you to do it at least two month (61 days) before the trip. The Cancellation of a scheduled tour booking must be made in writing and is not effective until such written cancellation is received and acknowledged by Unforgettable Adventures Limited

Any cancellation or reschedule made less than 61 days will result in a cancellation fee. The amount of the fee will be equal to Percentage of the tour price. 

Our Policy:
60 to 45 days prior to arrival: 25% of the Tour price/ service cost
44 to 30 days prior to arrival: 50% of the Tour price/ service cost
30 to 10 days prior to arrival: 75% of the Tour price/ service cost
9 to 0 days prior to arrival: 90% of the Tour price/ service cost
The refund will be made through bank transfer or through your credit card, depending on the original method of purchase.

However, in all circumstances Unforgettable Adventures Limited will do her best to reschedule your service for another time that is convenient to you.

NOTE: Unforgettable Adventures Limited shall not be held responsible for occurrences that are beyond its control, such as strikes, wars, acts of God, acts of government or any other cause whatsoever beyond its control, that make the operations of Unforgettable adventures impossible, unsafe, illegal or inadvisable. Unforgettable Adventures is not responsible for any expenses incurred by traveler in preparing for the trip, including non-refundable or penalty-carrying airline tickets, special clothing, visa or passport fees, or other trip-related expenses.

Amendments to bookings

In the event that the client joins the tour after the departure date, or leaves before the completion thereof for any reason whatsoever, the client shall not be entitled to any refunds or rebates whatsoever from the Company.

Insurance, Liability and Responsibility

It is a condition of booking that the sole responsibility lies with the traveler to ensure that they carry the correct comprehensive travel and medical insurance to cover themselves, as well as any dependents and traveling companions for the duration of the trip. Unforgettable Adventures Limited will take no responsibility for any costs for loss of personal luggage, money and goods, medical expenses, theft, cancellation or curtailment of the trip.

Unforgettable Adventures Limited acts only as a coordinator for the traveler with respect to services provided by underlying operators, including hotels, lodges, tented camps, restaurants, balloons, canoeing, road transport providers, professional guides, air charter services, boating, bush walking, horse safari, trekking and climbing activities.

All bookings with Unforgettable Adventures Limited are therefore subject to the limitations of liability imposed by the underlying operators involved in the trip. Payment of a deposit indicates an acceptance of these booking conditions by the traveler.

Baggage

The client shall be responsible for all baggage and personal effects brought by him or her on the tour, and the Company shall not be liable for any loss or damage to such baggage or personal effect, howsoever arising.

The client shall be entitled to one bag (being a backpack or soft bag, and not a suitcase) that weighs not more than 22 kilograms, and a daypack. Should the client require larger baggage allowance, this may be arranged with the Company against payment of a fee that the Company may levy in its sole discretion. Notwithstanding the foregoing, the Company reserves the right to refuse excess baggage or oversized baggage.

Health

The client accepts that to participate in the tour requires a measure of physical fitness and health and it is the client’s obligation to ensure that he or she is medically fit to embark on the tour.

Where the client is over the age of 65, the Company requires a medical certificate or doctor’s letter confirming that the client is medically fit to undertake the tour.

In respect of all clients over the age of 65 years, a medical questionnaire is required to confirm that the client is physically able to undertake the tour. Unforgettable Adventures Limited will not accept a reservation without this documentation.

Child Policy

7 Years: No children under 7 years of age may travel on Unforgettable Adventures Limited scheduled tours.

7 – 9 Years: Children between the ages of 7 – 9 years will be accepted to travel with Unforgettable Adventures Limited on a request basis only

Travelers between the ages of 7 – 16 must be accompanied by a parent or guardian, unless specific Authorization had been obtained from Unforgettable Adventures Limited.

Marketing

The Company reserves the right to use any photographs and video taken during the tour for use in marketing or any other advertising material, and the client hereby consents to such use.

The client further agrees that the Company shall retain copyright over any such photographs and videos taken during the tour and/or used in its brochures and, to the extent necessary, the client hereby assigns copyright in such photographs and/or videos to the Company.

Government Taxes and Park Fees

Any increase in Tanzanian government taxes or park fees affecting the costs included in the trip will be passed through and paid for by the traveler.

Customs

Personal belongings such as binoculars, cameras, film, may be imported (temporarily) free of duty. A custom bond may be demanded from visitors bringing in professional video/filming equipment, radios, tape recorders and musical instruments to ensure the goods are re-exported. Firearms require a special permit that should be obtained in advance. Visitors buying local handicrafts must keep cash sales receipts and ownership certificates for wildlife trophies for presentation to Customs officials on departure.

Authority on tour

The client must at all times comply with the laws, customs and foreign exchange regulations of Tanzania during the tour.

In addition, the client acknowledges that any disruptive, dangerous or potentially dangerous behavior during the tour shall not be tolerated and that the Company, its employees, representatives, Agents and/or contractors being so authorized, reserve the right to exclude the client from the tour at any point therein in such circumstances.

The Company shall not be liable for any costs and/or expenses for the client resulting for exclusion as aforesaid, and the client shall not be entitled to a refund or rebate of the tour price or any additional compensation in such instances.
